Overview
Review supplier obligations from eligible approved sources and manual payables, then record settlements without counting the same expense twice.
Open Admin & Finance → Company Payables in the selected compatible workspace.
Who can use it
- Admins manage Company Payables and supplier payments. Other roles do not receive access merely because a source expense is visible to them.
Before you start
- An Admin activates Company Payables from Module Marketplace on an eligible company plan. The catalog supplies the current price and billing terms.
- Use approved Supplier Credit source records where applicable. Keep the source amount, supplier, due date, and cost classification accurate.
- Access to source workflows such as Materials & Requisition or Company Expenses still follows their own module and role rules.
Workflow
- 1
Review or create the obligation
Find eligible material-request, project-expense, and company-expense supplier-credit obligations. For a manual payable, choose its correct expense classification and avoid duplicating an existing source cost.
- 2
Filter the review
Use supplier, due/status, and date or as-of controls to inspect the appropriate obligations and outstanding balances.
- 3
Record a supplier payment
Record the actual payment against the selected payable. A partial payment reduces the outstanding balance; settlement is not another expense.
- 4
Reconcile the history
Review payment and payable history against the source. Preserve paid and voided history and use only the supported correction actions.
Availability and statuses
- Payable states include Unpaid, Partially paid, Paid, and Voided.
- Due and overdue views describe payment timing; they are not approval of a new expense.
- When module access expires, retained history can be read under the existing access rules while financial mutations are blocked. Renew through the existing module flow.
Limitations
Troubleshooting
- For a missing source payable, check approval, Supplier Credit funding, supplier details, filters, and whether it already has a linked obligation.
- If a write action is unavailable, check Admin access, company/module status, and the payable state.
- If totals differ, compare the same as-of date and distinguish original cost, payments, and remaining balance.
Important notes
- Payable states include Unpaid, Partially paid, Paid, and Voided.
- Due and overdue views describe payment timing; they are not approval of a new expense.
- When module access expires, retained history can be read under the existing access rules while financial mutations are blocked. Renew through the existing module flow.
- A payment reduces a liability; it must not add the source expense a second time.
- Voiding or correcting a record must follow the existing guards. This guide does not authorize deleting or rewriting paid financial history.
- A report balance depends on its selected as-of date and filters.
