An Admin creates each user from Users & Access, assigns a role, and provides a temporary password securely. The user signs in with the company login URL, changes the temporary password on first sign-in, and receives project assignments separately. Prospeno does not send email invitations for new users.
The core platform includes project-profit tracking, projects, assignments, labor and attendance, expenses and receipts, approvals, collections and billing, reports, company access, and the Mobile Field App. Optional modules add more operational workflows.

Yes, when the Custom Branding module is enabled from Module Marketplace at /modules. Until then, companies use the standard Prospeno login with their company code and slug.
Admins and Managers can create and manage projects. Project Assignments connect accountable Admins or Managers, optional Supervisors, and assigned Employees.
No. Supervisors are optional and useful when a site lead should coordinate field execution on an assigned project.
Employees and Supervisors generally see assigned projects in the web app and Mobile Field App. Admins and Managers have broader company visibility according to role.
Field users log attendance from the Mobile Field App or web labor screens where permitted. Admins and Managers can review and approve attendance records.
Approved attendance and labor entries feed project labor cost in profit views. Pending entries do not count as actual cost until approved.
When the Salaries & Payroll module is enabled, approved attendance and payroll settings feed payroll runs. See /docs/modules/salaries-payroll for the full workflow.
No. Attendance and expense submission are separate workflows. You can submit expenses without an active attendance check-in.
Only Admins can approve or reject project and company expenses. Managers may review queues but cannot approve expenses.
Personal Reimbursement is available to all submitters. Company-Paid (company direct payment) is limited to permitted Admin and Manager roles on web and mobile. Released Budget appears only when Budget Releases & Liquidation is enabled and an eligible Budget Release exists for the submitter and project.
No. Released Budget expenses must use a Budget Release assigned to the submitter for the selected project.
Rejected expenses do not become project or company cost. For Released Budget submissions, reserved funds return to the release available balance.
A Budget Release is spendable cash or funds assigned to a recipient. Project budget estimates in Prospeno are planning figures—not automatically spendable releases. Older records may still reference cash advances.
Only after Budget Releases & Liquidation is enabled and the submitter has an eligible Budget Release for the selected project.
Submitted Released Budget expenses reserve available balance until an Admin approves or rejects them. Rejection restores the available amount.
Billing records what the client owes. Collection records what the client has paid. Record billings first, then log collections against each billing to track outstanding balances.

Admins and Managers with billing access can record billings and collections. Employees see project context only where their role permits.

No. Batch Labor posts project labor cost but does not feed Salaries & Payroll runs. Payroll uses approved attendance and payroll settings.
Authorized Admin users manage company payroll settings, create and review runs, approve payroll, and record payment. Managers do not have company-wide payroll administration. Supervisors do not have payroll administration. Employees may view their own finalized payslip where supported. See /docs/modules/salaries-payroll.
Historical payroll runs and payslips remain as finalized records. Future runs use current rates and settings—they do not retroactively rewrite paid payroll.
Outstanding employee cash advances can be applied as payroll deductions during review before finalization. Partial deductions remain on the advance balance until fully settled.
Office Budget Requests requires the module to be enabled on an eligible paid plan and your role must permit the workflow. Confirm Module Marketplace activation and your Admin or Manager access.

Approved lines can generate Budget Releases for controlled spending and later settlement. Track remaining balances and actual spending through the release workflow.
When connectivity drops, the kiosk stores check-ins locally in a queue on the device. Records sync automatically when the connection returns. See /docs/kiosk-attendance-mode.
Kiosk PIN is a short employee PIN for shared kiosk check-in. Email PIN 2FA is an optional account security step after web or mobile sign-in—they are separate controls.
Company Admins enable the module and configure kiosk devices, projects, and employee PIN access from the kiosk management screens.
