Start the quotation
Open Quotations → New Quotation and enter the client, project/site, and location details.

Choose how to start
Start blank, use a supported template, use a simple scope, or seed items from the company pricebook.

Build the document
Add sections, line items, quantities, units, note boxes, and client-facing scope details.

Review Cost & Profit
Check internal costs, markup, selling prices, estimated gross profit, margin, and Profit Guard advisories.

Review Client Preview
Confirm the client sees the intended scope and selling prices without private profitability fields.

Save and update status
Save the quotation, then use the quotation status that matches the current sales stage.
Cost, markup, and margin
Profit Guard highlights common pricing or completeness issues before a quotation is shared. It is advisory and does not record payment.
- Never expose internal cost, markup, margin, or estimated profit on the client-facing quotation.
- Quotation value is not automatically project revenue. Do not count quotation value as collected revenue.
Client Preview
Use Client Preview to review the printable document before sending it outside Prospeno. The preview shows selling prices and client-facing scope, not internal cost or profitability.
- Supported paper choices include Long, Letter, and A4.
- Printing or PDF creation uses the browser print dialog; Prospeno does not generate a server-side PDF file.
Quotation statuses

| Draft | The quotation is still being prepared. |
| Ready | The document is ready for client review or sending. |
| Submitted | The quotation has been sent or formally submitted. |
| Waiting | The team is waiting for the client’s decision or next step. |
| Won | The opportunity was accepted. |
| Lost | The opportunity was not accepted. |
Changing a quotation to Won does not automatically create or update a Prospeno project.
Builder limits
- Maximum sections: 10
- Maximum total line items: 300
- Maximum note boxes: 5
- Maximum markup percent per item or section default: 500
Using the pricebook
Pricebook items are reusable company catalog references. When copied into a quotation, they become quotation-specific lines with their own quantity, current cost, markup, and selling price.
- Later pricebook changes do not silently rewrite existing quotations.
- Quotation items do not automatically become material requests.

Who can use Quotation Builder?
Admins and Managers can create and manage quotations when the company has an active module entitlement. Supervisors and Employees do not have quotation-builder access.
How are changes saved?
Explicit save only: changes are not autosaved. Save Draft or use the supported preview/save action before leaving the builder. Duplicate quotation creates a separate quotation from the current structure rather than overwriting the original.
Does Prospeno provide client approval links?
Public client links, OTP verification, and digital signature workflows are not currently part of the implemented quotation flow. Use the client preview and your normal delivery process.
Important notes
- Quotation Builder is a sales-document workflow, not a full construction-estimating ERP.
- A quotation does not require an existing Prospeno project.
- Client Preview must never expose internal cost, markup, margin, or estimated profit.
