Overview
Activate the free Prospeno integration, connect an authorized Xero organization, and map expense categories to its Chart of Accounts. Transaction sync is not enabled yet.
Open Settings → Integrations → Xero. Module activation and provider connection are separate steps.
Who can use it
- Admins activate and configure company integrations. Team access to expenses remains subject to existing roles and modules.
Before you start
- An eligible company account and an authorized Xero account with access to the intended organization.
- Activate the free optional module in Module Marketplace before configuring the provider in Settings → Integrations.
- Provider subscriptions, permissions, and fees are separate from the free Prospeno module.
Workflow
- 1
Activate the module
An Admin activates Xero in Module Marketplace. This grants the Prospeno capability; it does not sign in to the provider.
- 2
Connect the correct account
Select Connect, complete the provider authorization, and confirm the intended organization. If authorization expires or fails, start a fresh connection attempt from Settings.
- 3
Configure account mappings
Open Configure, load the Chart of Accounts, and map the supported project and company expense categories to the appropriate accounts. Review mappings before saving.
- 4
Maintain the connection
Use Reconnect when required and Disconnect when the connection should no longer be used. These controls do not delete the original Prospeno financial records.
Availability and statuses
- The module activation state and provider connection state are independent. Active module access can still have no connected account or incomplete mappings.
- Connection and category configuration are implemented. Transaction sync is not enabled yet.
- A disabled or read-only integration blocks configuration mutations; reconnect does not renew the company plan or module.
Limitations
Troubleshooting
- If the wrong organization is connected, review the connection in Settings and use the supported disconnect/reconnect flow.
- If accounts do not load, check provider permissions and connection state; do not invent an account identifier.
- If OAuth fails or an old authorization attempt returns an error, restart from Settings instead of replaying the old callback.
Important notes
- The module activation state and provider connection state are independent. Active module access can still have no connected account or incomplete mappings.
- Connection and category configuration are implemented. Transaction sync is not enabled yet.
- A disabled or read-only integration blocks configuration mutations; reconnect does not renew the company plan or module.
- No automatic two-way accounting sync, invoice sync, payroll sync, or transaction posting is promised.
- Saving a mapping does not prove a transaction has been exported or reconciled.
- Use the current financial workflow and provider reconciliation process until a supported sync release is available.
