Locations

Create work locations, define attendance geofences, connect project sites, and control where employees may check in or out.

Who can use it

  • Admin — can view, add, edit, archive, activate, and configure attendance geofencing
  • Manager — can view and manage locations
  • Supervisor — can view locations in read-only mode
  • Employee — does not manage locations

Overview and audience

Locations manages the physical places used by Prospeno attendance workflows.

Locations can be connected to projects and used by Prospeno Field or Kiosk Attendance for location-based attendance validation.

Location types

Available location types include:

Office

  • Use for the company office or another administrative workplace.

Project Site

  • Use for a physical project location.
  • A Project Site may be connected to a specific project.

Warehouse

  • Use for storage, dispatch, preparation, or warehouse attendance.

General

  • Use for a valid work location that does not fit the other categories.

Setup workflow

    Add a location

    Select Add Location.

    Enter:

    • Location Type
    • Project, when using Project Site
    • Address
    • Latitude
    • Longitude
    • Radius
    • Active status where available

    Use the map picker to place the location accurately.

    Select Save to create the location.

    Edit a location

    Select Edit to update:

    Review attendance behavior after changing coordinates or radius.

    Changes may affect future check-in and check-out validation.

    Archive a location

    Select Archive when the location should no longer be available for new attendance.

    Confirm through the Archive location? dialog.

    Archiving:

    More detail
    • marks the location inactive
    • removes it from active attendance choices
    • preserves historical records connected to it

    Archived locations may still appear in the Locations page for reference.

    Activate a location

    Select Activate to restore an archived location.

    The location becomes available again for supported attendance and kiosk workflows.

Geofence modes comparison

Geofence Enforcement

  • The company can choose how strictly location rules are applied.

Review only

  • Prospeno records available location information but does not block check-in or check-out.
  • Use this during initial setup or when location evidence should be reviewed manually.

Require check-in inside geofence

  • Employees must be inside an active location radius to check in.
  • Check-out may still proceed without the same location restriction.

Require check-in and check-out inside geofence

  • Employees must be inside an active location radius for both check-in and check-out.
  • Use this only when the company is confident that site coordinates, radiuses, and device-location permissions are reliable.

Radius and GPS guidance

Attendance radius

Radius defines the allowed distance around the saved location.

  • The default may be 100 meters.
  • Choose a radius that matches the real site conditions.
  • A very small radius may reject legitimate attendance because of device GPS variation.
  • A very large radius may allow attendance too far from the actual workplace.

Available presets may include:

  • 50 meters
  • 100 meters
  • 200 meters
  • 500 meters

GPS accuracy

Device GPS is not perfectly exact.

  • being indoors
  • nearby buildings
  • weak satellite reception
  • device hardware
  • disabled high-accuracy mode
  • browser permission
  • network-assisted location

Address and coordinates

The address is a readable description of the location.

  • Latitude and longitude provide the actual point used for map display and geofence calculation.
  • Use the map picker or accurate coordinates.

Kiosk Attendance relationship

  • Each kiosk setup must be connected to an assigned location before launch.
  • The kiosk uses that location as part of its attendance configuration.
  • Different kiosks may be connected to different locations.

Project-profit effect

Locations do not directly add project cost or change project profit.

  • They improve the reliability of attendance evidence.
  • When attendance is captured against the correct project and later approved, the resulting labor cost may affect project profit.

1. Create the location.

2. Confirm the map point.

3. Set a practical radius.

4. Use Review only.

5. Test with actual employee devices.

6. Review captured locations.

7. Enable stricter enforcement after validation.

  • This reduces the chance of blocking valid attendance during setup.
Active locations requirement

Geofence enforcement requires at least one active location.

  • When no active location exists, Prospeno may prevent enforcement from being enabled or show a warning.
  • Create and verify the required work locations before turning on strict enforcement.
Per-employee geofence requirement

Team & Rates may include the employee setting: Require geofence for check-in/out.

  • This employee-level setting works together with the company’s location and geofence rules.
  • The exact result depends on both the company mode and employee configuration.
Map panel

Available map actions may include:

  • Edit
  • Archive
  • Activate
  • Add

The map panel displays the selected location and its configured area.

  • The current map uses standard web map tiles and a location marker.
Project association

When Location Type is Project Site, select the related project.

  • Connecting a location to a project helps Prospeno identify which site is used for project attendance and kiosk setup.
  • A project location does not create project attendance automatically.

Important limitations

  • Supervisors cannot add, edit, archive, or activate locations.
  • Employees cannot manage locations.
  • Geofence enforcement requires active locations.
  • GPS accuracy varies by device and environment.
  • A strict radius may block legitimate attendance.
  • An overly large radius may weaken attendance controls.
  • Location setup does not create attendance.
  • Project association does not create project labor.
  • Exact mobile error messages and offline behavior may vary.
  • Employee-level and company-level geofence settings may interact differently depending on current configuration.
