Overview and audience

Team & Rates is the company’s main employee administration page.

Use it to add team members, assign roles, maintain labor rates, review workforce exposure, disable access, and manage attendance-related settings.

Employee rates entered here support labor-cost calculations across attendance, project labor, timesheets, and payroll workflows.

Team & Rates is currently available to company Admins. Managers, Supervisors, and Employees do not currently have access to this page.

Workforce metrics

The page may show:

  • Active Employees
  • Managers
  • Daily Labor Exposure
  • Missing Rates

Active Employees

  • Shows the number of team members whose accounts are currently active.

Managers

  • Shows the number of active users assigned the Manager role.

Daily Labor Exposure

  • Shows the combined daily rates of active employees.
  • Use this as a quick estimate of the company’s potential daily labor exposure.
  • It is not the same as approved project labor cost.

Missing Rates

  • Shows active Employees who do not yet have a daily rate.
  • Missing rates can make labor costing incomplete or inaccurate.

Employee management workflow

    Add an employee

    Select + Add Employee.

    Enter the employee’s:

    Select Save to create the employee.

    After creation, Prospeno may display a temporary password.

    Share temporary credentials securely and instruct the employee to change the password after signing in.

    Search and filters

    Use Search employees... to find a team member.

    Use the status filter:

    The list is paginated when the company has more employees than the current page limit.

    Capabilities

    Has company-wide access to administration, projects, approvals, settings, subscriptions, and enabled modules. Assign Admin access only to trusted company administrators.

    Manages assigned project and workforce activity according to current permissions.

    Receives operational access to assigned projects and field records with limited financial visibility.

Pay-type and rate comparison

Pay Type

  • Available pay types include:
  • Daily
  • Hourly
  • Monthly
  • Choose the pay type that best matches the employee’s compensation arrangement.
  • The selected pay type controls which supporting rate fields appear.

Payroll Group

  • Available payroll groups include:
  • Weekly
  • Semi-monthly
  • Monthly
  • Payroll Group helps organize employees for the Salaries & Payroll module.
  • It does not by itself create a payroll run.

Daily Labor Rate

  • The Daily Labor Rate is the primary rate used for project labor allocation.
  • For Employees, this rate is important for accurate labor costing.
  • When a person has multiple closed attendance records on the same day, Prospeno distributes the daily rate proportionally according to the hours worked on each record.
  • This allows one daily rate to be divided across multiple projects worked on during the same day.

Hourly Rate

  • The Hourly Rate appears when Pay Type is set to Hourly.
  • It supports compensation and payroll-related calculations where applicable.
  • Project labor allocation currently relies primarily on the Daily Labor Rate.

Monthly Salary

  • The Monthly Salary appears when Pay Type is set to Monthly.
  • It is used by payroll-related workflows where supported.
  • It does not replace project attendance records.

Overtime Rate

  • The OT Hourly Rate stores the employee’s overtime rate.
  • This rate is used by Salaries & Payroll where overtime calculations are supported.
  • The Workforce Attendance and Timesheet pages currently show total hours rather than a separate regular/overtime breakdown.

Allowance and per diem

  • Optional fields include:
  • Default Allowance
  • Per Diem Rate
  • These values support payroll and employee-compensation workflows where enabled.
  • They do not automatically create an expense, cash advance, or payroll record.

Rate changes

Only Admins can change employee rates.

Downstream system relationships

Attendance Logs

Attendance records use employee identity, work hours, project assignment, and labor rates.

Project Labor

Approved project attendance appears as project labor cost.

Timesheet

Timesheet summarizes employee hours and allocated labor cost from attendance.

Salaries & Payroll

Payroll uses employee compensation settings such as pay type, salary, overtime rate, allowance, and payroll group.

  • Payroll is a separate paid module.
Kiosk Attendance

Kiosk uses employee identity and PIN attendance but does not manage employee rates.

Missing-rate and plan-limit callouts

Missing-rate warning

When an active Employee has no Daily Labor Rate, Prospeno may show a warning.

  • Set employee rates before approving substantial labor activity.

Plan limits

The company subscription controls how many active employees may be added.

  • When the employee limit is reached, Prospeno displays an upgrade prompt instead of adding another active employee.

Important limitations

  • Team & Rates is currently Admin-only.
  • No rate effective-date history is available.
  • Rate changes may not automatically recalculate all historical labor records.
  • No clearly exposed re-enable action exists in the current interface.
  • Workforce Attendance and Timesheet do not show a regular/overtime split.
  • Payroll settings do not create payroll records by themselves.
  • Mobile and kiosk surfaces do not provide Team & Rates management.
  • Missing Daily Labor Rate warnings apply primarily to Employee-role users.
