Timesheet

Review employee work hours by week, inspect daily attendance records, and identify pending or open entries before payroll and project-cost review.

Who can use it

  • Admin — reviews company-wide timesheets and estimated labor cost
  • Manager — reviews attendance for projects they manage
  • Supervisor — reviews assigned project activity without labor-cost visibility
  • Employee — reviews personal timesheet records under My Work

Overview and audience

Timesheet provides a weekly view of employee attendance.

Timesheet is a review surface. It does not create payroll runs, finalize pay periods, or replace the detailed Attendance Logs page.

Permission matrix

Available employees, projects, and cost information depend on the user’s role and assignments.

Weekly grid explanation

The Timesheet grid organizes records into:

  • one row per employee
  • one column per day
  • a final Total column

Each day cell may show:

  • total hours
  • work type
  • number of records
  • The standard view covers Monday through Sunday.

Summary metrics

The page may show:

  • Total Hours
  • Approved Hours
  • Pending / Open Entries
  • Estimated Labor Cost

Total Hours

  • Shows all recorded attendance hours within the selected period.
  • This may include approved, pending, and open records.

Approved Hours

  • Shows hours from approved attendance records.
  • Approved hours are the most reliable basis for project labor and payroll review.

Pending / Open Entries

  • Shows attendance records that still require action.

This may include:

  • completed records waiting for approval
  • open records without check-out
  • incomplete attendance requiring review

Estimated Labor Cost

  • Shows allocated labor cost for the selected period.
  • This metric may include all available entries rather than only approved records.
  • It is hidden from Supervisors and Employees.
  • Treat it as a review estimate, not a final payroll amount.

    A daily cell may display: General Project Mixed number of entries

  • Indicator

    General

    Meaning

    All attendance for that day was recorded as General Work. General Work does not affect the profit of an individual project.

  • Indicator

    Project

    Meaning

    Attendance for that day was connected to project work. Approved project attendance contributes to project labor cost.

  • Indicator

    Mixed

    Meaning

    The employee had both General Work and Project Work, or worked across multiple attendance records. Open the daily record to inspect the details.

Review workflow

    Review a daily entry

    Select a day cell with recorded hours.

    This opens the Attendance Detail drawer for the related attendance record.

    The detail may show:

    More detail
    • employee
    • project or General Work
    • check-in and check-out
    • total hours
    • evidence
    • location
    • daily report
    • allocated labor cost
    • approval status

    Timesheet itself does not expose full approval controls.

    Use Attendance Logs or Approvals for complete review actions.

    Week navigation

    Use the previous and next controls to move between weeks.

    The selected period is displayed as a date range.

    The default period follows the current application week.

    Custom date range

    Use the date filter to apply a custom start and end date.

    A custom range replaces the default weekly period for the current view.

    Use Clear to return to the normal weekly view.

    Search

    In team views, use Search employees... to find a specific employee.

    Search may be hidden in the personal My Timesheet view because only the signed-in employee’s records are shown.

Relationship with Attendance Logs

  • Attendance Logs is the detailed source page.

Relationship with Project Labor

  • Project Labor focuses on labor connected to projects.

Relationship with Payroll

  • Salaries & Payroll uses approved attendance and employee pay settings in a separate paid module.

Batch labor

  • Batch labor is excluded from Timesheet.
  • Batch labor records estimated crew cost without identifying individual employees.
  • Because Timesheet is employee-based, batch labor cannot be assigned to a person’s weekly row.

Estimated Labor Cost is based on attendance allocations and employee rates.

  • The current metric may include non-approved entries in the selected period.
  • For approved project labor cost, verify the records in Attendance Logs, Project Labor, or the Project Command Center.

Date range, record limits, and platform relationships

Locking and finalized periods

Timesheet currently has no:

  • period lock
  • finalize action
  • pay-period close
  • payroll submission button
  • Finalization and payroll controls belong to the Salaries & Payroll module.
Data volume

The Timesheet loads a limited number of attendance records for the selected period.

  • The current implementation can load up to 500 records in one view.
  • Very large companies or long custom date ranges may not display every historical record at once.
  • Use narrower date ranges or Reports for larger reviews.
Regular and overtime hours

Timesheet currently shows total hours worked.

  • Regular and overtime values may exist in payroll-related records, but they are reviewed inside the Salaries & Payroll module.
  • It does not display separate Regular Hours and Overtime Hours columns.
  • Do not use the Timesheet total as a final overtime calculation without checking the payroll workflow.
Web, mobile, and kiosk relationship

Timesheet reflects attendance captured through multiple channels.

Web

The web Timesheet provides the weekly review grid.

My Work

Employees can review their own records under My Timesheet.

Prospeno Field

Mobile attendance creates records that later appear in Timesheet.

  • A dedicated mobile Timesheet screen is not confirmed in the current documentation.
Kiosk Attendance

Synced kiosk check-ins and check-outs appear in Timesheet after they become attendance records.

Important limitations

  • Timesheet is a review grid, not a payroll system.
  • It does not show separate regular and overtime hours.
  • It has no export action.
  • It has no period lock or finalization.
  • Batch labor does not appear.
  • Estimated Labor Cost may include non-approved records.
  • Supervisors and Employees cannot see labor cost.
  • The grid may load up to 500 records for the selected period.
  • Project detail is viewed through attendance records rather than project columns.
  • Approval actions are handled in Attendance Logs or Approvals.
