Overview and who can create
Only a company Admin can create a new project.
The company must also have available project capacity under its current subscription plan.
Main creation workflow
- 1
Project details
Enter the Project Name.
You may also add optional documentation such as:
More detail
- Client Name
- Project Type
- Project Location
- Scope Summary
These fields help identify and document the project but do not directly change profit calculations.
- 2
Profit baseline
Enter:
The contract amount is the expected project revenue.
The budgeted costs represent the original expected cost of delivering the project.
Prospeno uses these values to show the initial projected profit before actual labor and expenses are recorded.
More detail
- Contract Amount
- Budgeted Labor Cost
- Budgeted Material Cost
- Budgeted Other Cost
- 3
Schedule and status
Set:
New projects normally begin in Planning unless work has already started.
Cancelled is not available as an initial project status.

- Target End Date
- Status
Available starting statuses include:
- Planning
- Active
- On Hold
- Completed
- 4
Assign the project team
Add the Managers, Supervisors, and Employees who will work on the project.
Assignments help control:
More detail
- which projects appear in assigned workflows
- where employees can record project work
- which managers can oversee project activity
- which supervisors can view field records
Team assignment is optional during creation, but it is strongly recommended before field work begins.
- 5
Add notes
Use Notes for internal context that does not fit the structured project fields.
Examples include:
More detail
- special project conditions
- internal reminders
- client instructions
- setup notes for the project team
Project details and baseline comparison
The projected-profit preview compares:
Projected profit formula
Contract Amount
− Budgeted Labor
− Budgeted Materials
− Budgeted Other Costs
- This is only the original estimate.
- After work begins, the Project Command Center compares the baseline with approved actual costs and collections.
As operations continue, Prospeno compares it with:
- approved labor cost
- approved project expenses
- material costs when enabled
- billings
- collections
The baseline provides the starting financial expectation for the project.
- Update the baseline only when the approved commercial or budget assumptions genuinely change.
Project-limit callout
Project limits
Your subscription plan controls how many active projects the company may have.
- When the limit is reached, Prospeno displays an upgrade prompt instead of creating another active project.
- Completed projects may also be subject to history-retention rules based on the current plan.
How baseline affects profit
As operations continue, Prospeno compares it with:
- approved labor cost
- approved project expenses
- material costs when enabled
- billings
- collections
The baseline provides the starting financial expectation for the project.
- Update the baseline only when the approved commercial or budget assumptions genuinely change.
Field details
Before you begin
Prepare the following information:
- project name
- contract amount
- estimated labor cost
- estimated material cost
- estimated other costs
- expected start and completion dates
- initial project status
- project team
- optional client and scope details
- These values establish the project’s initial profit baseline.
Start tracking
After the project is created, Prospeno opens the Project Command Center and shows setup guidance for the next recommended actions:
- add or review team members
- record labor
- add expenses
- record collections
Select Start Tracking Project.
Important limitations
- Project creation is web-only.
- Only Admins can create projects.
- Assignments do not create attendance or labor records.
- Budget values are estimates, not actual costs.
- Billings and collections are recorded after project creation.
