Overview
Keep post-project service requests, warranty coverage, maintenance work, and service actuals together without reopening the original project financial history.
Open Service Maintenance & Warranty from Projects navigation. The legacy Service Tickets, Warranty Manager, and Maintenance names are not separate products to activate.
Who can use it
- Admins and Managers manage service requests within their existing permissions.
- Administrative payment and financial actions retain their role checks. Assignment or visibility does not grant payment authority.
Before you start
- Activate Service Maintenance & Warranty from Module Marketplace on an eligible company plan.
- Prepare the relevant project/customer context and warranty coverage before classifying a request.
- Choose billing classification separately from work type: Covered / No Charge or Chargeable Service; Repair / Troubleshooting, Preventive Maintenance, or Other Service.
- Covered work records its basis: Warranty, Maintenance Agreement, or Complimentary Service. Preventive maintenance is not automatically free.
Workflow
- 1
Record and classify the request
Identify the customer/project context. Choose Covered / No Charge or Chargeable Service independently of the work type. For covered work, select the coverage basis and verify relevant dates; a preventive visit is not automatically covered.
- 2
Schedule and assign
Set the service schedule and responsible team through the supported service controls.
- 3
Track work and actuals
Move the request through its service statuses and record supported service materials, labor, and charges. Service actuals stay separate from the completed project history.
- 4
Complete and reconcile
Review work completion and any chargeable balance. Authorized payment actions record the actual settlement while preserving its history.
Availability and statuses
- Requests move through New, Scheduled, In progress, Waiting, Completed, or Cancelled.
- Warranty coverage can be Active, Expiring, or Expired. Billing classification determines whether charges are allowed; work type describes the work performed.
- Payment status and work status are separate: completing work does not imply payment.
- Inactive or expired module access does not authorize new mutations; retained records follow the existing read-only rules.
Limitations
Troubleshooting
- For unexpected charges, review billing classification, work type, coverage basis/dates, actuals, and recorded payments separately.
- For an unavailable action, check the request status, role, and module status.
- Do not enter a second project expense or payroll entry merely to mirror an existing service actual.
Important notes
- Requests move through New, Scheduled, In progress, Waiting, Completed, or Cancelled.
- Warranty coverage can be Active, Expiring, or Expired. Billing classification determines whether charges are allowed; work type describes the work performed.
- Payment status and work status are separate: completing work does not imply payment.
- Inactive or expired module access does not authorize new mutations; retained records follow the existing read-only rules.
- This unified module replaces the hidden legacy service products.
- Service work does not reopen a completed project or duplicate attendance/payroll authority.
- Legacy request classifications retain their existing financial rules. Do not reinterpret historical preventive work as free or reclassify it to change recorded amounts.
- Warranty coverage is a recorded business obligation, not a promise of insurance or automatic approval of all work.
